THE FLEET AUDIT

45 minutes that show you exactly where your fleet is leaking value.

The Fleet Audit is a strategic conversation - not a sales pitch. You walk us through your current fleet operation. We walk you through what's working, what's not, and what a transition to managed fulfillment would actually look like for your organization. You leave with a written assessment - whether you become a client or not.

WHAT THE AUDIT COVERS

This isn't a demo. It's a diagnostic.

Most 3PL conversations start with a capabilities deck and a pricing table. Ours starts with your fleet. We need to understand your operation before we can tell you whether we're the right partner - and we'll tell you honestly if we're not.

Step 01

Fleet snapshot.

We map your current fleet structure: how many assets, what types, where they live today, how they move across markets, and how they return. If you don't have all the answers - that's fine. Most clients don't. That's why they're calling.

Step 02

Loss analysis.

Based on what you share, we identify the patterns: where hardware is being re-ordered instead of reused, where prep time is eating into event hours, where transport is creating damage, where invoicing is opaque. You'll see the cost of your current setup - often for the first time.

Step 03

Transition outline.

If there's a fit, we sketch what a transition to BFS would look like: what moves to Warsaw, what stays local, what timeline is realistic, what the contract structure looks like. No surprises, no pressure, no follow-up spam.

You leave the call knowing more about your fleet than you did before it. That's the point.

YOUR CONVERSATION PARTNER

You'll speak directly with the person who drives this company forward.

LEADS THE CALL

Laura Nowak-Gocławska

Co-founder & CEO, Biossphere

Laura leads every Fleet Audit personally. Since 2022, she has been building Biossphere alongside Kamil - shaping the company's strategic direction and driving partnerships with global hardware brands. She is the primary voice of the organization and the person responsible for understanding whether your fleet operation is a genuine fit for BFS. This isn't a discovery call with an SDR. It's a strategic conversation with the CEO who will oversee your partnership from day one.

Kamil Pucek
ANALYZES YOUR FLEET AFTER THE CALL

Kamil Pucek

Co-founder & CTO, Biossphere

Kamil is the architect behind everything BFS does. He started building and renting event hardware fleets in 2019, creating one of the largest independent fleets in Europe. When global brands began struggling with their own fleet chaos, he turned that operational knowledge into a managed fulfillment service - first with Logitech G, then AMD, and beyond. He also built Biossphere Armory from scratch: the client portal where every technician minute is tracked against a specific task, every invoice is fully transparent, and AI agents help clients build event orders in seconds. Kamil doesn't join the call - but after your Fleet Audit, he's the one who analyzes your fleet data and designs the technical solution tailored to your operation.

BEFORE THE CALL

Come prepared - or don't. We'll work with what you have.

The more you can share upfront, the more specific our assessment will be. But if you don't have half of this - that's normal. Most of our clients couldn't answer these questions before they called us. That's exactly why they called.

  1. How many assets are in your event hardware fleet?

Count everything: PCs, monitors, peripherals, networking gear. An estimate is fine.

  2. What types of hardware are you managing?

Custom-built PCs, retail laptops, peripherals only, mixed? We need to understand the fleet composition.

  3. Where does your fleet physically live today?

One warehouse? Multiple local offices? A mix? Across how many countries?

  4. How many events do you run per year, and across which markets?

This helps us model the logistics load and dispatch frequency.

  5. How does your hardware currently travel to events?

Retail packaging? Pallets? Custom cases? Courier? Freight? Who coordinates?

  6. What happens to the hardware after an event?

Does it return to a central location? Stay in local offices? Get audited? By whom?

  7. What's your biggest operational pain right now?

Lost hardware? Damaged in transit? Unprepared on-site? Uncontrolled costs? All of the above?

  8. Who in your organization touches the fleet today?

Global manager, local event managers, external agencies, warehouse staff?

  9. What tools do you currently use to track your fleet?

Spreadsheets, ERP, asset management software, nothing?

  10. What does your current annual spend on event hardware look like?

New purchases, replacements, transport, storage, staffing - any number helps.

Don't let this list delay you. The best Fleet Audits happen when someone says “I honestly have no idea” to half these questions - because that's the diagnosis.

ASK US ANYTHING

Questions our clients typically bring to the Fleet Audit.

  • “What would it actually cost to move our fleet to Warsaw?”

  • “Can you handle a fleet that includes both PCs and peripherals from different manufacturers?”

  • “How do you deal with events that overlap - two events in the same week pulling from the same pool?”

  • “What happens if we need hardware in a market you don't have a shipping lane to?”

  • “How long does a typical transition take from first call to first event shipped?”

  • “What's your insurance and liability model for hardware under your custody?”

  • “Can our local managers actually use the Armory Portal without training?”

  • “What if the Fleet Audit shows that BFS isn't the right fit?”

There are no bad questions. The call exists to answer them.

BEST FIT

The Fleet Audit is designed for a specific type of organization.

We don't work with everyone - and we'll tell you on the call if your fleet is too small, too simple, or too different from what we're built to handle. Here's who gets the most value from BFS:

  • Global hardware brands operating event fleets across multiple EU markets.

  • Fleet value above €25K - PCs, peripherals, or mixed.

  • 5+ events per year across at least 2 markets.

  • A Global or Fleet Manager who owns the event hardware budget and reports to C-level.

If you're not sure whether you qualify - book the audit anyway. We'd rather spend 45 minutes and tell you honestly than leave you guessing.
