THE EVENT HARDWARE LAB

10 minutes to unbox one PC from a pallet. 30 seconds to deploy one from our crate.

That's the difference between shipping event hardware in retail packaging and shipping it through a purpose-built preparation lab. The Event Hardware Lab is where your fleet stops being inventory and starts being an operational asset - tuned, tested, protected, and ready to perform the moment it reaches the event floor.

WHY THIS EXISTS

Your 3PL stores your fleet. We make it event-ready.

General logistics providers handle pallets and parcels. They don't know what a BIOS is. They don't pair peripherals. They don't test stability under load. They ship your hardware the way they ship everything else - in whatever packaging it arrived in, on a pallet, with a tracking number. What happens at the event is not their problem.

It's ours.

Pattern / Before

Before - Standard 3PL

  • PCs shipped in retail boxes on pallets, 15–18 per layer
  • Tempered glass panels cracking in transit
  • BIOS unmaintained, XMP profiles not enabled - hardware running at 60% capacity
  • Peripherals loose in cartons, mice unpaired from USB dongles
  • Event team spends first 4 hours unpacking, troubleshooting, pairing
  • Foam inserts matched to individual unit IDs - reassembly takes hours post-event
  • Piles of cardboard, stretch wrap, and pallet waste next to the booth
Pattern / After

After - Event Hardware Lab

  • Hardware shipped in custom transport crates, plug-and-play
  • GPU bracing and shock protection - near-zero transit damage
  • BIOS tuned, XMP enabled, clean OS build, stability tested
  • Peripherals paired, labeled, firmware updated, packed alongside hardware
  • Event team deploys one PC in 30 seconds - 20x faster
  • No retail packaging, no waste, no reassembly
  • Post-event return: open crate, slide hardware in, close, ship
FROM RECEIVING TO EVENT-READY

Every asset goes through seven stages before it ships.

This isn't a checklist someone glances at. It's a documented, time-tracked, auditable process - every step logged in Biossphere Armory, every minute assigned to a technician, every result tied to a specific quote.

  1. Inbound receiving & audit

Your fleet arrives at our Warsaw hub. Every asset is scanned, counted, and reconciled against the manifest. Missing items are flagged immediately. Condition is documented - scratches, damage, missing components. Nothing enters storage without a full intake record.

  2. Deep inspection & inventory

Each PC is opened. Components are verified against the SKU spec: GPU present and seated, RAM in correct slots, SSD installed, cables intact. Peripherals are checked for completeness - every mouse matched to its USB dongle, every keyboard tested, every headset inspected for wear.

  3. Hardware modifications

If authorized by the client: GPU stabilizer brackets installed to prevent card displacement during transport. SSD hot-swap bays mounted for rapid game pre-loading at events. These are permanent upgrades that stay with the fleet.

  4. Software & firmware preparation

BIOS updated to latest stable version. Our custom BIOS profile applied - XMP enabled, boot priority set, power management tuned for event stability. Clean Windows image deployed from our secured build. Drivers locked. System ready for short-term event use out of the box.

  5. Performance & stability testing

Every PC runs a standardized stress test - CPU, GPU, memory, storage. Failures are caught here, not on the event floor. Results logged per unit in Armory.

  6. Cleaning & brand protection

Every asset returning from a trade show floor is deep-cleaned and sanitized. Dust, fingerprints, sticker residue, booth tape - removed. Your hardware represents your brand. It should look like it.

  7. Packing & dispatch

Hardware loaded into custom transport crates with integrated compartments and GPS tracker bays. Crate sealed. Shipping label generated. Last-mile logistics coordinated - courier, freight, air, or sea, depending on destination and timeline.

Every stage is time-tracked. Every minute appears on your invoice. No mystery line items, ever.

ENGINEERED FOR YOUR FLEET

We design crates around your hardware. Not the other way around.

Over 50 custom transport crates designed and deployed for our clients - for PCs, monitors, consoles, peripherals, and full sim racing rigs. Each one engineered around the specific hardware it carries: its weight, dimensions, fragility, and how it needs to arrive at the event floor. From 6-unit compact cases to 18-unit high-density crates with integrated compartments and GPS tracking bays.

01 / Hardware-first

Tailored to your hardware

Each design starts from the hardware - whether it's a high-end PC with a glass panel, a 55-inch monitor, a racing cockpit, or a set of consoles. The interior is built for that specific equipment, with padding engineered for road, air, and sea transport.

02 / Self-contained

Peripheral integration

Mice, keyboards, headsets, cables - packed alongside the hardware in dedicated compartments inside the same crate. No more separate peripheral pallets. No more hunting for the right dongle at the event.

03 / Always visible

GPS tracking built in

Every crate has a dedicated bay for a GPS locator module. You see where your hardware is in transit - in real time, from Biossphere Armory.

04 / Any route

Designed for every transport mode

Crate dimensions and weight are optimized for direct freight, standard courier services, air cargo, and sea shipping. Your fleet moves the same way regardless of destination - Warsaw to Berlin or Warsaw to Seoul.

3,000+ PERIPHERALS UNDER MANAGEMENT

Every mouse paired. Every keyboard tested. Every headset accounted for.

We currently manage over 3,000 peripheral devices - mice, keyboards, mousepads, and headsets - across our clients' fleets. Each one is labeled, firmware-updated, and paired with its wireless dongle before it leaves our lab. Your local event manager never touches a dongle. Never hunts for a cable. Never discovers on-site that 40 mice don't work because no one paired them.

Peripherals are the invisible chaos of event hardware. They're small, they're numerous, they disappear. A single Gamescom booth might need 400 matched peripheral sets - and if even 5% are wrong, your event team burns hours fixing it in front of visitors.

We eliminate that. Every peripheral set is assembled, verified, and packed into the transport crate alongside its assigned hardware. When the crate opens on the event floor, everything inside belongs together.

LAB PERFORMANCE

The data behind the discipline.

20–450

PCs prepared per event. From intimate press briefings to Gamescom-scale trade shows.

30sec

Time to deploy one PC from a transport crate to a desk, ready to power on. Down from 10 minutes with retail packaging.

10–15min

Pre-event check per unit - OS verification, basic stability test, readiness confirmation.

50+

Custom transport crates designed and deployed across client fleets.

3,000+

Peripheral devices under active management - paired, labeled, firmware-current.

0

Retail boxes in our crate-based operations. Every cardboard carton and foam insert eliminated.

Your fleet deserves better than a pallet and a prayer.

The Fleet Audit includes a detailed review of how your hardware currently ships, how it's prepared (or isn't), and what would change if it went through our Event Hardware Lab. Forty-five minutes. No sales deck.
